November is the perfect time to start preparing for those pesky, yet required 1099’s. First step is making sure you have a Tax ID for all your 1099 vendors. In this video I’ll show you how to:

Use SmartList to pull up all Vendors that are 1099 vendors
Print a letter for your vendors requesting a W-9 form
Exclude any vendor for which you already have a Tax ID number, so you’re only printing letters requesting W-9’s from the right vendors.

Payables and Intercompany

When you enter an Intercompany transaction in Payables Management, the posting must be set to update General Ledger. Transactions are not posted to destination companies until they are posted in the originating company's General Ledger.

What does this mean? It means that you must post ALL payables Intercompany transactions in both the payables AND the general ledger for the transaction to show up in the company receiving the expense.

Microsoft Dynamics GP Excel Refreshable Reports Profit & Loss Statement

If all you need is a very simple P&L Statement, Excel Refreshable Reports will do the trick. The only part that is a bit weird is that Expenses will show as a negative and Income as a positive OR Credits show as a negative and Debits show as a positive. You decide.

Transaction Matching, cool feature (and Project tool??)

A follower of my blog recently asked about using Microsoft Dynamics GP Transaction Matching for Project tracking. I immediately said no, that it could not do that. Transaction Matching is meant for linking entries or lines of entries with a commonality, like “Month End Close” and “Audit Entries” or a bunch of messy entries and corrections.

After I told him no, I began thinking “Projects are a group of entries or lines of entry with commonality.” So I set out to see if it would work.

It Does work! It is a manual process to manage the links, and other tools are better. But if you do not own the other tools, this will work!

I did put together a SQL script that allows me to use Excel for really good Analytics (reporting.) Take a look for yourself! And remember, always think outside the box!

Budget Transactions & Adjusted Budgets

In this Video I show how to maintain Budget Transaction History, Enter Budget Transactions and how I use multiple Microsoft Dynamics GP Budgets in FRx.

I use multiple budgets to monitor my original budget set at the beginning of the year, and an adjusted budget.

The adjusted budget accounts for changes based on actual numbers. Let’s say I budget $100 for sales revenue, and expenses as a percent of sales. If my sales were $200, at least some of my expenses should be higher, so I change my adjustment budget using the same percent of sales, but increase or decrease based on the difference between actual revenue and budgeted revenue. This gives me realistic budgets for my expense accounts based on actual sales.

Allocation Accounts, Take my work away

This video spends a little extra time in the Microsoft Dynamics GP Allocation Account Maintenance windows for both Fixed Allocation Accounts and Variable Allocation Accounts.
These little beauties can save you time on month end Entries, if using 1 allocation account each month saves you 2 minutes a month, that’s 24 minutes a year.

I’ll take those 24 minutes and add them to my “40 hours a year” saving quest, which takes me to savings of 371 minutes a year (6.18 hours) with the first 3 entries alone!

Save 87+ minutes a year!

On my last Video Post, I created a shortcut on my menu bar in GP to add the SmartList icon. A comment was made that text could be added, and that is correct!

In the image, I right mouse clicked on the blue toolbar, opening the Toolbar Customization Window. I then chose the Main toolbar, the SmartList control that I added and clicked on Modify Selection. From here I can change the icon to text, text and an icon or image, plus more.

Making GP changes like this can save you real time. If you open SmartList 10 times a day and this saves you a total of 20 seconds a day. That's 5200 seconds a year or 87 minutes a year, I'm being generous saying it'll save you 2 seconds every time you open SmartList.

If you use GP US Payroll, you need to make sure you install Round 2 of the Payroll Tax update for 2011.

For 2011, the employer portion of FICA Social Security is 6.2%, while the employee portion of FICA Social Security has been dropped to 4.2%. Very confusing, I know.

Round 1 dropped both sides, so the paychecks would calculate correctly (at a rate of 4.2%.)

Round 2 corrects the Employer side. Please note that if you made tax deposits based on the reports created with payroll, you will need to make an additional payroll tax deposit for the employers additional 2%.

You can use your quarterly report, to help you calculate the difference you (may) owe the IRS.
